School Enrollment & Registration Management System

Category: Educational Administration & Compliance Management

Project Scope: End-to-end enrollment pipeline management for 150 students across four integrated sheets.

Executive Summary

Managing student enrollments in a UAE school is one of the most operationally demanding responsibilities a registrar faces. Every student record must move through a defined pipeline — from initial enquiry to full ADEK compliance verification — while maintaining accurate data, communicating with parents, managing waitlists, and reporting to senior leadership simultaneously.

This project replicates that exact operational environment. I designed and built a complete School Enrollment and Registration Management System in Microsoft Excel that automates the most time-consuming parts of a registrar's workflow — priority flagging, document compliance tracking, waitlist prioritization, and executive dashboard reporting — across 150 student records.

The system is built around four interconnected sheets, each serving a specific operational function, and a hidden backend data layer that powers the live dashboard without interfering with the user interface.

The Problem This System Solves

In most schools, enrollment data is managed across disconnected spreadsheets, email threads, and paper files. This creates four critical problems:

Problem 1 — No single source of truth. Different staff members hold different versions of enrollment data, leading to double counting, missed follow ups, and inaccurate reports to leadership.

Problem 2 — Manual compliance checking. Verifying nine ADEK-required documents for 150 students manually is slow, error-prone, and creates compliance risk if any document is missed before eSIS registration.

Problem 3 — Unfair waitlist management. Without a scoring system, waitlist decisions are subjective and difficult to defend to parents who question why their child was not offered a seat.

Problem 4 — Reactive reporting. Leadership receives enrollment updates only when they ask, rather than having a live dashboard that shows the current state at any moment.

This system solves all four problems in a single Excel file.
