Managing examinations in a British curriculum school involves two distinct operational layers — the day-to-day administrative workflow of scheduling, registering candidates, deploying invigilators, and processing results, and the strategic analytics layer of reporting performance to senior leadership, identifying at-risk students, and preparing evidence for KHDA inspections.
Most schools manage these two layers in disconnected systems — timetables in one spreadsheet, results in another, and dashboards built manually after results are released. This creates delays, data inconsistencies, and missed intervention opportunities.
This project replicates both layers in a single integrated system. Microsoft Excel handles the complete operational workflow across four interconnected sheets. Power BI connects directly to the Excel data and transforms it into a live analytics dashboard aligned to KHDA inspection standards. Together they form a complete Examination Management and Results Analytics System that an Exam Officer or School Data Manager can deploy immediately in any British curriculum school.
Problem 1 — Manual timetable calculations. Exam coordinators manually calculate end times, room allocations, and session assignments for dozens of exams — a slow and error-prone process that creates scheduling conflicts.
Problem 2 — Duplicate candidate entries. UK exam boards charge per entry. A student accidentally entered for the same subject twice costs the school money and requires a formal amendment request. Without automated checking, duplicates go undetected until the board flags them.
Problem 3 — Invigilation conflicts. Without automated conflict detection, an invigilator can be accidentally assigned to two simultaneous exam rooms — violating exam board regulations and potentially invalidating the sitting.
Problem 4 — Delayed results analysis. Results are typically analyzed days or weeks after release because performance band classification and intervention identification are done manually. At-risk students are identified late, delaying support.
Problem 5 — Manual KHDA reporting. KHDA inspectors expect performance data presented in specific categories — Above Expected, Expected, Below Expected. Schools manually map results to these categories for every inspection, wasting hours of administrative time.
This system solves all five problems automatically.
